Property management company seeks to scale efficient invoice processing

 

A national multifamily property management company processes more than 70,000 invoices every month across a large portfolio of communities. Its manual processes were limiting teams' visibility into invoice status and spend, impacting month-end close timelines, vendor relationships and the organization's ability to scale operations.

 

Leadership decided it was time to modernize its centralized invoice processing function to create greater consistency and efficiency across its properties. After initial implementation of an AI-enabled invoice platform across 40 properties, the organization sought a partner to help scale the solution across the portfolio.

To help the team streamline invoice processing and enable greater consistency across properties, Grant Thornton took a four-step approach:

 

Assessing the current state

 

The Grant Thornton team began with a detailed assessment of the existing invoice processing and challenges affecting adoption and scalability. This included discussing the end-to-end invoice lifecycle, from receipt through payment.

 

Optimizing the platform for scale


For a company with hundreds of properties processing more than 70,000 invoices each month, successful adoption of the AI-enabled platform required integration with existing systems across the organization.

 

Grant Thornton readied the AI-enabled invoice automation platform for scale, which included standardizing vendor configurations ahead of site team onboarding, stabilizing the integrations and defining processes that would allow for seamless integration across portfolio-wide property and finance teams.

 

Enabling smooth integration

 

To take the platform from a pilot to an organization-wide program, Grant Thornton established program structure and governance, including business process documentation, mapping a decision hierarchy and establishing a steering committee for successful integration.

 

Building operational and workforce readiness for AI-powered invoicing

 

Technology implementation was only part of the transformation. Grant Thornton also helped prepare teams across the portfolio to adopt new ways of working and realize the full value of the platform.

 

The team designed an exception-based operating model that focused on managing the invoices that required attention, while allowing routine transactions to flow through automatically. They also drove adoption through structured training and change management programs, centralized data, the creation of a support intake process and regular KPI reviews to track successful adoption.
