A leading water solutions manufacturer and distributor had built a large and sophisticated operation serving customers across a broad product portfolio. As transaction volumes increased, its sales and customer service teams managed growing numbers of orders, inquiries and service requests.
Many critical processes still relied on manual effort. Sales representatives spent valuable time entering orders, searching multiple systems for information and responding to routine customer questions. Leadership saw an opportunity to improve performance by reducing administrative work and giving teams faster access to the information needed to serve customers.
The organization wanted a more scalable operating model to improve efficiency, enhance the customer experience and support future growth.
Approach
Building agentic AI into the commercial engine
MCA Connect worked with the client to implement an integrated agentic AI strategy anchored by two purpose-built solutions within the Microsoft ecosystem.
The first solution, an order automation agent, transformed order processing by reading PDF documents, extracting line items, translating part numbers, validating pricing and continuously improving through learning from prior corrections. The result was a more adaptive and efficient workflow that reduced manual intervention while maintaining accuracy.
The second solution, a sales assist copilot, provided sales representatives with a conversational interface for accessing pricing, product availability, order status and fulfillment information. Instead of navigating multiple systems, team members could receive answers instantly, enabling faster customer responses and accelerating productivity. Together, the solutions brought operational intelligence directly into daily workflows, creating a foundation for scalable growth.
Result
Delivering measurable value at enterprise scale
The business impact was significant and grew over time as automation capabilities expanded. During the first year, manual order entry activity was reduced by half, producing approximately $3.3 million in savings. By the second year, automation reached 85% of the process through expanded CPQ intelligence, contributing an additional $5.5 million in savings. By the third year, automation levels reached 95%, establishing a highly efficient operating model.
Beyond the direct cost savings, the organization improved speed, consistency and responsiveness across customer-facing operations. Sales teams spent less time performing administrative tasks and more time supporting customers and driving revenue growth.
The company projects more than $200 million in cumulative cost savings, driven by improved efficiency, greater accuracy and a stronger customer experience.
